Operational overview

How FlatNewAkt works

1

Service scope

FlatNewAkt focuses on administrative and documentary aspects of apartment transactions in Switzerland. Core activities include reviewing contracts and annexes, checking land register entries for recorded rights and charges, and organising communication with notaries or other administrative offices when requested by the client. The service is informational and procedural rather than legal representation.

Engagements are scoped per transaction: the client specifies which documents to review and whether additional coordination (for example, scheduling a notary appointment) is required. Work is performed from our Lausanne office and documented in a brief engagement summary.

2

Client intake and documentation

Intake begins with a concise questionnaire and submission of available documents: draft contract, property description, annexes, proof of identity and cadastral references. This enables a focused review and identification of missing items.

  • Basic client contact and transaction details
  • Upload of contract and annexes
  • Confirmation of requested services (review, registry check, coordination)

After intake, FlatNewAkt provides an engagement outline listing the documents reviewed and the practical steps recommended to complete the administrative process.

3

Document review process

Document review follows a checklist tailored to Swiss apartment transactions: verification of seller and buyer details, key contractual clauses (price, payment schedule, conditions precedent), encumbrance and charge notices, and standard annexes. The objective is to highlight items that typically require attention from a procedural perspective.

Review identifies administrative and clarity issues; it does not substitute for legal advice.

Findings are delivered in plain language with references to common practices and suggested next steps, such as clarifying unclear clauses with the counterparty or consulting a legal professional for disputes or complex title issues.

4

Coordination with notaries and registry

When coordination is requested, FlatNewAkt assists in scheduling meetings with notaries and in preparing the required set of documents for the appointment. We confirm the list of needed documents with the notary office and advise on typical procedural timelines.

For land registry checks, we retrieve registry excerpts and report recorded entries that affect the property. If discrepancies or complex encumbrances are found, we present the factual findings and outline possible administrative follow-up.

Notary and registry work is performed in accordance with local administrative rules.

FlatNewAkt does not act as a notary or legal representative; where legal advice is appropriate, we recommend contacting a qualified attorney or notary in the relevant canton.

5

Deliverables and limitations

Deliverables typically include a short review report, a list of identified documents or clauses needing attention, and a suggested sequence of next procedural steps. Additional coordination tasks are listed with an estimated timeframe based on standard local practice.

Limitations: FlatNewAkt provides informational and administrative support. For dispute resolution, contract negotiation or legal representation, clients should seek licensed legal professionals.

6

Fees and billing

Fees are set per service element: document review, registry checks and coordination tasks. Pricing is transparent and provided in advance in the engagement outline.

  • Document review — fixed fee per contract
  • Registry check — per-request fee
  • Coordination with notary — hourly or fixed appointment fee

Invoices use standard Swiss billing practices and are issued with clear descriptions of work performed. Payment methods and terms are shared in the engagement outline.

7

Data handling and privacy

Client data is handled in accordance with applicable Swiss data protection principles. Documents submitted for review are accessed only by authorised personnel involved in the engagement.

FlatNewAkt retains engagement records for administrative purposes and shares data with third parties only when required to perform a requested coordination task, or when authorised by the client.
